Google Gemini is currently only available to full-time Wharton faculty, staff and PhD students with Google Workspace accounts.


Features

Gemini provides an AI chatbot interface to allow you to brainstorm ideas, develop a plan, or find different ways to get things done. Conduct online research, summarize and consolidate information, transform information from one type to another, ideate, brainstorm, and more.

Warning: Gemini Apps can make mistakes. When using Gemini Apps, double-check responses and don’t rely on them for professional advice.

Wharton Google Workspace

Members of Wharton’s managed Google Workspace access the Gemini app under the Google Workspace or Workspace for Education terms. All your conversations are private.

Gemini is configured not to allow access to other Google Workspace content, and won't return responses directly in the Gemini app. Some features of the AI tool (e.g. extensions) allow it to access data in email or other data repositories without user input, which raises the risk profile and may include High-Risk data. Such features have been disabled administratively wherever possible.

Other Google apps - Additional Services - not covered by Wharton's Google Workspace agreement (e.g. YouTube and Google Maps) are not available to users in the Gemini app.

Allowed usage

Use of the Gemini app is available via browser only at https://gemini.google.com.

Use of these models is available at no additional cost and is included with the base license for Google’s Core services, covered under the central university contract.

Additional paid Google AI expansion add‑ons are not available in Wharton Google Workspace, as they do not meet Penn security requirements.

Requirements

  • Only available to full-time Wharton faculty, staff and PhD with Google Workspace accounts.
  • Not available to MBA, undergraduate students and TEMP staff.
  • Access is not automatically granted, and is only available upon request.
  • Data permitted is restricted to “Low or Moderate risk data” per Wharton's Data Classification and Management Standard.
  • User must provide written and documented attestation that they understand and agree to the data use policy.

Requesting Access

Work with your Wharton Computing representative to request access. Wharton Computing staff members can request Gemini access on behalf of users by submitting a service request to support@wharton.upenn.edu with the following information:

  • Name and Wharton Google account of user
  • User's department
  • Status or affiliation of the user (staff, faculty, PHD, etc.)
  • Written user attestation of their agreement to the data use policy, as provided below:

Security and Data

The University’s contract with Google ensures that no data uploaded to Wharton's Google Workspace is used to train any of their AI models.

REMINDER: Submission of University Confidential/Regulated/Contracted Data requires the use of a Penn/Wharton-approved enterprise generative AI tool, like Google Gemini. Use of University Confidential Data in any other generative AI tool, whether a free or for-fee service, is prohibited.

Additionally, the contract includes data protections that enable Google Gemini to be used with some kinds of data the University defines as confidential. The following table lists Wharton data classifications and data types and if they can be used within Google Gemini:
